JOB DESCRIPTION
THEATRE MANAGER
OBJECTIVES
In conjunction with the Operations team:
- To undertake the most effective and efficient running of the theatre.
- To ensure the theatre operates within the law.
- To introduce and maintain the highest standards of customer care and building presentation.
- To contribute to the success of Nimax Theatres as part of a management team.

- Box Office staff
- Stage Department
- Electrics Department
- All Nimax Theatres Departments
- Visiting Production Companies
- Contractors
- Enforcement offices/ Local Authority
- Really Useful Theatres Cellar Team
Liaises with:
The Theatre Manager shall be conversant in all matters pertaining to the running of each Theatre.
Theatre Managers have the authority to engage and terminate the employment of Front of House staff, Stage and Electrics Performance staff, Stage Door Keepers and the Fireman.
In conjunction with the Operations Manager the Theatre Manager will contribute to engaging and terminating the employment of Stage and Electrics Full Time Staff, Box Office Staff and Assistant Theatre Managers.
Theatre Manager may not authorise purchases over £50.00 in value without the explicit approval of the Operations Manager.
The Theatre Manager will delegate specific recurring and non recurring duties and responsibilities to the Assistant Theatre Managers and monitor progress against these duties.
CHIEF RESPSONSIBILITIES
- To be fully aware of the Rules of Management produced by the local council which detail the required regulations and standards.
- To ensure that the theatre meets its licence requirements; and to safeguard/ display any documentation that may be required.
- To liaise with the producer’s representatives in all matters relating to the smooth running of the production and alert the Operations Manager to any problems as they arise.
- To initiate clear lines of communication with the Assistant Theatre Managers, delegating and assigning recurring and non recurring duties to the incumbents of this post.
- To ensure that all Fire Regulations are adhered to.
- To uphold a fully comprehensive working knowledge of the SOLT/BECTU Agreement.
- To have a good understanding of the box office system and working practices; including the specific management Box Office procedures.
- To ensure the theatre operates in the most efficient, safe and cost effective manner.
- To initiate clear lines of communication between staff and heads of department under your control and regularly review them for effectiveness.
- To take responsibility for the appearance, upkeep and general maintenance of the theatres. Obtain quotes, and oversee the satisfactory completion of works.
- To ensure that the members of all departments are trained and kept up to date in the relevant Health and Safety regulations, including COSHH (Control of Substances, Hazardous to Health Regulations), RIDDOR (Reporting of Injuries, Diseases, and Dangerous Occurrences Regulations) and ensure that there are sufficient First Aid trained members of staff employed and on duty at each performance.
- To carry out training sessions and exercises to the applicable members of staff.
- To engage in all correspondence relating to certificates required by the authorities as part of the operation of the theatre and its production (with assistance from the relevant heads of departments as necessary). To maintain a file with all in date certificates.
- To ensure that relevant Health and Safety records are kept and updated regularly including risk assessments.
- To respond to letters, e-mails and telephone calls from members of the public and customers.
- To ensure that all Catering Equipment meets Health and Hygiene standards and to operate with the contractor maintaining any such equipment.
- To ensure that the theatre complies with the Company’s Health and Hygiene Manual.
- To maintain a filing system in order that all statutory Risk Assessments, Method Statements and Health and Safety policies are easily accessible.
PERSONNEL
- To be responsible for all staff employed by and on behalf of the theatre and to keep up to date with current legislation and practices.
- To manage the heads of department and be responsible for their motivation and training.
- To ensure that heads of department roster departmental staff in the most economical and efficient way and to ensure the provision of adequate cover in times of training, sickness and holidays and that such instances are recorded appropriately.
- To manage members of the Front of House staff and to be responsible for their training and development.
- To engage suitably qualified Front of House staff, Fireman, Stage Door Keepers, Stage and Electrics performance staff in respect of experience and, where necessary, formal qualifications in keeping with good practices and current legal requirements.
- Whilst on duty in a theatre to be responsible for staff discipline in all departments following and in consultation with company policies in these matters, and adhering to the arrangements in the SOLT/BECTU Agreement.
- To maintain training records for all theatre based staff.
- To be aware of the various terms and conditions affecting the employment of staff and to keep abreast of changes in legislation.
- To ensure Nimax are kept fully informed of any staff changes or major discipline incidents.
- To maintain personnel files for all members of theatre based staff in line with the Company’s procedures.
- To complete the weekly payroll in line with the Company’s procedures.
FINANCIAL
- To ensure all bankings including petty cash, the box office and catering are authorised, checked and lodged with the Nimax’s bankers in line with Nimax procedure.
- To authorise all invoices received by the theatre charging or to be charged to the producers.
- To assist as required in the completion of the annual budget and ensure the theatre keeps within its set budget, including control and directing expenditures by all heads of department.
- To liaise with Nimax management and producers in matters which involve large expenditure or areas of expenditure not clear in the arrangements for the hire of the theatre.
- To supply regular reports as requested by Nimax management.
- To ensure stocks are obtained at the best prices available to the Nimax in consultation with Nimax management.
- To keep accurate financial records as required by Nimax
- To manage Catering Salaries in line with the Company’s expectations.
- To manage Contra Salaries in line with the prevailing agreements.
- To supervise regular independent stock checks, process any information from such a report, taking any action deemed necessary and giving a detailed account to Nimax management.
- To ensure the integrity of stock and cash in your care.
- To manage and minimise stock wastage and cash to stock variances.
- To comply with the Company’s Purchase Ledger procedures.
- To comply with the Company’s stock control procedures and when required to do so complete the daily/ weekly Retail Programme.
MANAGEMENT
- To handle information and be tactful in dealings with all departments, staff and members of the public adhering particularly to the Data Protection Act.
- To be responsible for dealing with, and replying promptly to, all correspondence.
- To ensure that the daily, weekly and monthly cleaning of the theatres is reviewed and of the highest standard and to use these reviews to inform maintenance and repairs requirements. To carry out cleaning audits.
- To arrange and co-ordinate all relevant safety inspections and keep appropriate records of such inspections, ensuring any remedial works arising from the inspections are reported to Nimax management and carried out satisfactorily.
- To ensure that any contractors carry out their works to the highest standard and the specifications required operating within the constraints of current legislation.
- Ensure the timely completion of performance reports, departmental logs, training logs, incident reports, accident reports and where appropriate informing the relevant authorities.
- To pass any press enquiries to Nimax management and at all times to respect the Nimax’s confidentiality.
- To liaise regularly with the company manager in matters relating to the production.
- To participate in Pre-Production Meetings and to complete duties arising from these meetings assigned to you. When required to do so make the necessary arrangements for Sunday Concert and Hires.
- To complete staff rosters.
- To place orders, receive, sign for and secure additional stock deliveries when on site in each theatre.
- To organise the transfer of stocks by the cellar team as directed to do so.
- To hold and perform the duties of a Personal License holder whilst on duty in each of the theatres.
CONFIDENTIALITY
All information regarding staff, patrons, the current or post productions and any other business relating to the theatre or Nimax Theatres Limited must be held in strictest confidence and may not be divulged to any unauthorised person at any time. A break of confidentiality will result in disciplinary action being taken and may lead to dismissal or legal action being taken.
DATA PROTECTION
Nimax computer data should only be accessed if this has been authorised and is part of fulfilling your responsibilities, unauthorised access to company computer data or unauthorised use of company computer equipment or aiding others will result in disciplinary action being taken which may lead to dismissal and/or legal action being taken.
OTHER DUTIES
To participate in other one-off activities that will come along from time to time in the course of your employment with Nimax Theatres Limited. To deputise for Theatre Managers in other theatres in the event of holiday and sickness. To carry out other duties as required
